Belgium is set to modernize its immigration process by introducing mandatory online submissions for certain work permit applications. Starting May 1, 2026, applications for short-term work permits and commuter permits must be filed through the government’s digital platform. Traditional submission methods, including email, will no longer be accepted.

At present, many of these applications are submitted via email to the relevant authorities. The shift to a centralized digital system marks a significant procedural change aimed at improving efficiency and transparency.

However, there will be a temporary transition period in the Walloon region. Applicants in this region can continue submitting applications by email until August 31, 2026. For the other two regions in Belgium, it remains unclear whether similar transition arrangements will be introduced.

The move toward digital processing is expected to bring several operational benefits. Authorities will be able to track applications more effectively and identify issues with eligibility or missing information at an earlier stage. It also reduces the risk of administrative problems such as lost emails or unclear submission timestamps.

For employers and their authorized representatives, preparation will be key. Access to the digital platform requires valid credentials, and mandates must be properly set up before submitting applications. Companies are encouraged to begin this process early to avoid delays once the new system becomes fully mandatory.

Overall, this transition reflects a broader trend toward digitalization in immigration systems, with the goal of making processes more reliable and streamlined for both applicants and authorities.
